# What the risk flags mean

A risk flag is a prompt to look more closely at a bill. It comes at one of three levels, and it never approves or blocks a bill by itself.

## What they are

WorkApproved checks bills for common signs of error and fraud, such as duplicates and changed bank details. A flag is not a verdict, and a bill with no flag is not guaranteed to be right.

## The three levels

- **High:** review it before approving. You must tick a box to say you checked it. If you can see the full details, you also write what you checked, and your comment is printed on the certificate. A high flag also stops automatic approval: a person decides.
- **Caution:** worth a closer look. You do not have to tick anything, but read it before you approve.
- **Info:** for information. There is nothing to act on unless it looks wrong to you.

A bill takes its highest level. The queue shows a badge such as **High risk**, and **Riskiest first** puts those bills at the top.

## What to do about a high flag

1. Read the reason on the bill.
2. Check it somewhere other than the bill. If it is about bank details, ring the supplier on a number you already hold, not one from the invoice or from an email.
3. If you are satisfied, tick the box, say what you checked, and approve.
4. If not, choose **Ask a question** or **Reject**.

## What you see

An administrator decides how much each person sees: **Full details**, **Short reason** or **None**. The person who submitted a bill sees only its level, not why, unless they are an administrator.

## Flags can change the path

Workflows can add approvers according to risk level. If a flag appears after approval has started, the bill may start again from the first approver, and the page says so.

## For administrators

Administrators and auditors can see how the checks work, and switch individual checks off with a reason, on the **Risk indicators** page. That detail stays in the app, behind sign-in. If a supplier's bank details change while approved bills to them are still unpaid, administrators are also emailed.
