How can a charity or trust require two approvers on Xero bills?

Two ways to ask for two people

• One step, all-of. Add a step with two approvers and choose "all of them". Both must approve before the bill moves on.
• Two steps in order. Make the first approver a step, and a different person the second step. The second is asked only after the first has approved.

You can also set a threshold so that only bills above an amount need the second approval, route by supplier, account code or tracking category, and block self-approval.

Why this suits trustees and boards

Treasurers and finance managers run Xero. Trustees and board members usually do not. Each approver needs only an email address. They get a personal link for that bill and step, which expires and works only for that person, and they decide on a phone or computer. There is no per-approver charge.

If a trustee is away, a dated stand-in can cover. If an approval stalls, reminders go out and it can escalate to a fallback person.

What gets recorded

• Every decision, with who and when, in the audit log. An Auditor role gives read-only access.
• A certificate attached to the bill in Xero, showing the approval path, who approved and when.
• A public page that says whether the certificate matches our records. The PDF is not digitally signed.
• An alert to your organisation's administrators if someone authorises a bill in Xero without going through WorkApproved.

What this is not

WorkApproved records who approved what, and in what order. Whether that satisfies your constitution, your governance rules or your bank's dual-authorisation requirement is for you to confirm.
